Company Secretarial Administrator
Position Purpose
The Company Secretarial Administrator plays a crucial role in supporting our clients by providing comprehensive corporate secretarial, governance, and legal statutory services. You will contribute to the efficient and effective delivery of these services, ensuring compliance with relevant regulations and facilitating smooth operations for our clients.
Position Summary
Your primary responsibility is to provide comprehensive support in secretarial, governance, and legal statutory functions for our clients. This includes ensuring compliance with relevant regulations, managing corporate documentation, maintaining accurate records, and assisting in board and shareholder meetings.
Position Duties and Responsibilities
A description of the duties and responsibilities assigned to the position; also referred to as the essential functions:
- Maintain client’s company and trust statutory records.
- Client annual return submissions to CIPC.
- Process company changes at CIPC, including registrations and deregistration’s.
- Process trust changes at DOJ, including registrations and deregistration’s.
- Basic SARS administration, including registrations and deregistration’s.
- Basic UIF and WCA administration, including registrations and deregistration’s.
- Liaise with CIPC, UIF, WCA, DOJ and SARS with regards to related registrations and submission of documentation
- Perform administrative duties and inhouse administrative functions in the CoSec Unit as required from the time to time.

Position Supervisory Responsibilities
Type and scope of supervisory responsibility that is expected from this position:
- Trains, provides work direction, and problem-solving assistance for Junior Secretarial Administrators.
- Assist the Secretarial Administrator Team Leader in overseeing the daily operations of Junior Secretarial Administrators.

Qualifications:
- Matric
- Studying towards a relevant 3 Year Company Secretary Diploma, or similar qualification from a recognised tertiary institution will be beneficial.
Experience:
- Have gained at least 4 years’ relevant experience in a statutory company secretarial environment within an audit / accounting environment
- Legal and financial experience / background an advantage.
Software:
- Office product suite.
- Secretarial Software – Cloudsec.
- Practice Management Software.
- SARS systems.
- DOJ Systems
- COIDA and UIF Systems
